  • Overview

    Receives all incoming calls and creates digital appointment schedule for Service Advisors.  Prints and distributes schedules to Service Manager and Advisors daily.  Notifies customer regarding status of special order parts and sets appointments as needed. Files all service department records.

    Responsibilities

    1. Answers phones as needed. Retrieves voice mail messages as received and properly inputs all appointments into ADP; prints and distributes schedules.      

    2. Schedules and tracks loaner vehicles based on availability and updates loaner inventory.

    3. Accept payment for repair orders as vehicles are picked up. Close repair orders. Maintain cash drawer daily.

    4. Maintains Service Department filing system.  Accurately files documents; sets up new files as needed.

    5. Inventory and order of all pertinent documents, forms and office supplies.

    6. Route paperwork as appropriate for accounting purposes.

    7. Organize and maintain work area in a neat manner.  Perform clerical functions such as copying, typing, faxing, filing as needed.
