Receives all incoming calls and creates computerized appointment. Notifies customer regarding status of special order parts and sets appointments as needed. Files all service department records.
Answers phones and retrieves voice mail messages as received and responds appropriately, in a timely manner. Properly inputs all appointments into DealerTrack.
Schedules loaner vehicles based on availability.
Process payment as vehicles are picked up. Follow established procedures for check and credit card authorization. Maintain cash drawer daily.
Maintain Service Department filing system.
Keep inventory and order all pertinent documents, forms and office supplies.
Route paperwork as appropriate for accounting purposes.
Organize and maintain work area in a neat manner. Perform clerical functions such as copying, typing, faxing, filing as needed.
